Moving in from HubSpot
Bring your contacts, companies and deals across — with the links between them intact.
There are two ways across. Use the first if you can — it brings everything,
keeps the links between your records, and can be run again later.
Connecting HubSpot directly
- In HubSpot, open Settings → Integrations → Private Apps.
- Create a private app and give it any name.
- On the Scopes tab, tick read access for contacts, companies, deals,
owners and schemas.
- Create it, copy the access token, and paste it into
Settings → Import Data here.
The token is stored encrypted and deleted the moment the fetch finishes.
It is only ever used to read — nothing here can change anything in your
HubSpot account.
Uploading exports instead
If you cannot get a token, export Contacts, Companies and Deals
from HubSpot as CSV and upload all three at once. We work out which file is
which from the columns, so it does not matter what they are called.
A CSV carries no activity history and no links between records, so deals and
contacts are re-attached by matching company names. That works well when the
names are consistent and less well when they are not — another reason to use
the token if your HubSpot administrator will issue one.
Nothing is written until you say so
Everything is read into a holding area first. You then see how many
companies, contacts and deals were found, and decide what happens to each of
your HubSpot properties, before a single record is created.
Your HubSpot properties
The properties that are yours rather than HubSpot's — a rig count, a
contract type, a renewal month — each become a custom field here, and
you can see exactly which before anything runs. If a matching field already
exists, we offer that instead of making a second one.
You can also choose not to bring a property across. Nothing is lost from
HubSpot either way; this only reads.
If a record is already here
Two choices, and it matters which:
- Fill in its blanks, keep what I have — anything you have already
corrected here stays as you left it, and only empty fields are filled.
This is the safe default.
- Leave it alone entirely — existing records are not touched at all.
People are matched on email address, companies on their domain. Somebody
with no email address is matched on their name within the same company.
Running it more than once
Safe. A second run recognises what it already brought across and updates
rather than duplicating — so you can import now, keep working in HubSpot for
a week, and run it again to catch what changed.
If it goes wrong
Every record an import creates is tagged with that import. **Undo this
import** on the import's own page removes all of them, and touches nothing
you added or edited yourself. Records the import only *filled in* are left
alone too, because their content was already yours.
Pipelines and custom fields are deliberately kept, even by an undo — by then
you may have moved your own deals into an imported stage, and removing it
would take their position with them.
What does not come across
- Marketing emails, workflows, forms and landing pages — these are HubSpot
features, not your data.
- Tasks already completed. They are history, and importing them fills your
task list with things that are already done.
- Activity attached to nobody we imported.
The import's own page lists everything it skipped and why, grouped by
reason, so nothing disappears without an explanation.
